When someone shares a problem, the kindest first move is often to find out whether they want company in the feeling or help with a decision. Reflect what happened, ask a simple preference question and let their answer shape the rest of the conversation.
Reflect before solving
Name the part you heard without exaggerating it: the email was upsetting, the meeting was confusing or the task felt too much. Reflection shows attention and gives them a chance to correct you. It also slows the urge to offer a solution before they finish.
Ask one clear preference
โDo you want me to listen, or would ideas help?โ is enough. They may want both at different times, or may not know yet. Do not make the question sound like a test; either answer is a reasonable request for support.
Match the answer
If they choose listening, ask gentle questions and avoid turning every sentence into a fix. If they want ideas, offer one or two options and say which part is yours to suggest. They can decline an idea without declining your care.

Ask before advising
That meeting left you carrying all the blame, and I can see why youโre shaken. Do you want me to listen, or would you like one idea about what to say tomorrow?
It reflects the experience and makes advice optional instead of assuming the speaker needs correction.
Stay with listening
I hear you. I wonโt try to solve it tonight. What part of the conversation is still sitting with you?
It keeps the promised mode of support and invites the person to continue at their own pace.
Frequently asked questions
What if they ask for advice but reject each idea?
Notice that the ideas may not fit rather than arguing for them. Ask what they have already tried or whether they want help thinking aloud, then accept that the final choice remains theirs.
Can I say I do not have capacity to listen?
Yes. Be honest and offer a realistic alternative: โI care, but I can only talk for ten minutes tonight; could we continue tomorrow?โ Clear limits are kinder than distracted support.
